Three published clocks at Gaylord Opryland
AES Show Nashville 2026 runs October 30 to November 1, 2026 at the Gaylord Opryland Resort. The organiser publishes three separate clocks on its home page. Workshop and session hours read Friday 2pm to 6pm, Saturday 9am to 7pm and Sunday 9am to 5pm. Exhibit hours read Saturday 10am to 6pm and Sunday 10am to 5pm. On-site registration reads Friday 10am to 6pm, Saturday 8am to 6pm and Sunday 8am to 4pm, at the desk in front of the AES Ryman Exhibit Hall B4 and B5.
Two one-hour seams fall out of that grid. Sessions open at 9am on Saturday and Sunday while the floor opens at 10am. Registration closes at 4pm on Sunday while the floor runs to 5pm.
The hour before the floor opens
A badge holder with a 9am session and no room has an hour to solve: a call, a quiet table and a shower between the session and the first aisle. That hour is the market for a day room, and the Nashville cards sell time in four-hour blocks and longer.
The hotelSlots directory for Nashville lists 222 properties with street addresses and publishes no rate. Dayuse returns 36 priced Nashville-area cards on the same read, running $66 to $170 for the day at a mean of $101.04. Each card carries its own booking fee of $0 to $10.
What the closest cards sell
Quality Inn Nashville - Opryland Area is the nearest card to the resort, 0.44 straight-line miles from the Gaylord Opryland pin, at $80 for the day including a $6 booking fee against a $150 nightly comparison. It sells two windows, 07:00-15:00 and 10:00-17:00. The first covers the 9am session and ends at mid-afternoon. The second starts at the floor open and runs past the Saturday close.
Baymont by Wyndham Nashville Airport sits 4.03 miles out at $66, with windows 08:00-14:00 and 09:00-17:00. Best Western Plus Executive Residency Nashville is 4.59 miles at $66 and adds a third window, 15:00-21:00. Sonesta Select Nashville Airport Suites is 4.94 miles at $81 with an 18:00-23:00 slot. Millennium Maxwell House is 6.08 miles at $76 on a 10:00-18:00 block, and Holiday Inn Express Nashville Downtown - Broadway is 6.19 miles at $115 on 10:00-17:00. Distances are straight-line, haversine from 36.2116359, -86.6946461.
The 6:50pm tail
The Richard Heyser Memorial Lecture puts Marina Bosi in the Davidson Ballroom on Level 2 from 6:00pm to 6:50pm. The special-events page prints no day beside that item. The 6:50pm finish fits the Saturday session window that closes at 7pm, and the Sunday grid stops at 5pm. The lecture follows the Grammy Soundtable, which runs 4:00pm to 5:30pm on the exhibit floor.
A visitor who stays for it leaves the ballroom after the Saturday floor closes at 6pm. Three cards on the read still hold a room at that hour: Best Western Plus Executive Residency Nashville on 15:00-21:00 at $66 and 4.59 miles, Sonesta Select Nashville Airport Suites on 18:00-23:00 at $81 and 4.94 miles, and GLo Best Western Nashville Airport on 19:00-23:00 at $85 and 5.14 miles. The Sonesta Select window opens fifty minutes before the lecture ends, so it covers the walk-out.
What a badge costs on each tier
All Access is $575 for members, $700 for non-members and $100 for student members. A One Day All Access pass is $195 for members and $220 for non-members. Exhibits+ is $25 for members and $35 for non-members, and covers the exhibit hall, the show-floor Main Stage sessions and the experience rooms at selected times.
The tier decides what a day room buys. Program use of the Ryman Studio Rooms, with Genelec and Adam Audio playback rooms and the Yamaha console training room, is restricted to All Access badge holders. An Exhibits+ holder is on the floor from 10am with no 9am session to bridge, so the morning gap belongs to the All Access tier.
What the 4pm desk close changes on Sunday
Sunday registration shuts at 4pm, an hour before the floor closes at 5pm. The desk cannot issue a badge after 4pm and cannot fix a badge problem in that final hour. Be inside the building with a working badge before 4pm on November 1.
No page on this beat prints a hotel checkout hour. Ask the property for its checkout time before booking a block that ends at 17:00, and ask whether a late departure is available at the day rate.
Where the room inventory tightens
The organiser's hotels page prints three lines in order. It states that the discounted Gaylord Opryland room block is sold out. It points the booking button at the regular rate. It then offers 30 per cent off the regular room rate on an exclusive AES Show rate, on strictly limited rooms. A day room 4 to 5 straight-line miles out removes that booking decision from the trip.
Two questions go to any property before payment: whether the window can start at 08:00 on the morning of a 9am session, and whether the room holds past 6:50pm on the Saturday of the Heyser lecture.
